Creating a contractor employee
Who is this article for?
Contractor company administrators that need to create a contractor employee.
Contractor company administrator access is required.
This article explains how to create a contractor employee profile in Beakon, which automatically sends login credentials to the new user.
1. Opening the contractor list
To access the contractor creation form:
- Open the Contractor list.
2. Starting the creation process
To begin creating a new contractor:
- Click the Create button on the right side.
3. Completing the required fields
To configure the contractor profile:
- Fill in all required fields in the form.
Pay special attention to the following fields:
- User Name - the username the contractor will use to log in to Beakon
- This must be unique across the entire system
- If a username is taken, another company may have someone with the same name
- Common practice is to use firstname.lastname (for example, john.doe) or their email address
- Email Address - the email that will receive login details when you create the profile
- This must be correct to ensure your contractor receives the email
- Keep this unique, as password resets require an email address and the system can encounter issues if multiple users share the same email
- Locations - usually determine a user's inductions (learnings)
- If your contractor will work at a site, setting this location automatically assigns them the induction to complete for site access
- Do not assign all sites if unsure, otherwise your contractor must complete every single site induction to become compliant
- Skills - determine an employee's required documents to upload
- For example, if they are a forklift driver, they will need a forklift licence
- If they are a delivery driver, they will require a driver's licence
- Status - determines if a user's account is active
- If inactive, the user will no longer be able to log in and will stop receiving notifications, essentially disabling their account
Note: Depending on the organisation, Skills and Locations may also assign inductions and documents.
4. Saving the profile
To complete the profile creation:
- Click Save at the bottom.
The system will send the login details to the specified email address.
5. Understanding what the new user receives
The new user will receive an email with their login information.
They can then log in to Beakon with these details, where they will be prompted to update their password. They can now open their dashboard and start uploading documents and completing inductions.
