Creating a kiosk for visitor check-in
Who is this article for?
Administrators that need to create a kiosk.
Administrator access is required.
This article explains how to configure a kiosk device that allows users to check in to a location, including optional setup for Google Chrome kiosk mode with automatic printing.
1. Configuring the kiosk device
To configure the kiosk device:
- Log in as an administrator with kiosk permissions on the device that will become the kiosk.
- Go to Visitor Register.
- Select Configure Kiosk.
- Enter the kiosk user's username and password (provided by the Project Manager or available from Beakon Support on 1300 303 773).
- Enable kiosk.
- Select the location where users will check in.
Note: All users checking in on this device will be checked into the selected location.
2. Selecting user types and kiosk functions
To configure kiosk functions:
- Select the type of users who can check in via the kiosk.
- Select the kiosk functions you require.
Available kiosk functions:
- On-Screen Keyboard – displays an on-screen keyboard for user input
- Use WebCam to Scan QR Code – allows users to scan printed QR codes for faster check-in and check-out
- Profile Picture – requires users to take a photo of themselves on entry
- Declaration – requires users to agree to a declaration (contact Beakon Support to update the declaration text from the Admin menu)
- Who Are You Visiting? – requires users to type in an employee name, who will receive an email notification (templates are found in Email Templates)
- Print Label – prints a label for visitors with their name, company and QR code (template found in Email Templates)
If you selected Who Are You Visiting, select the role or roles that users can search for.
Note: Users checking in will be able to view the name and email address of the selected roles during search.
3. Configuring passes, inductions and compliance
To configure passes and compliance requirements:
- Select the respective visitor and contractor pass templates for printing.
- Tick Repeat inductions if inductions must be completed every time users arrive on site, even if previously completed.
- Select all options in Check Compliance For to ensure users have submitted all required documents, licences and audits before checking in.
- In Visitor and employee inductions, select the inductions that users must complete when checking into this site.
- Click Save.
4. Activating the kiosk
To activate the kiosk:
- Hover over your name in the top right corner.
- Select Log Out.
The device is now a kiosk.
5. Using the kiosk to check in
To check in using the kiosk:
- Search by name or email.
- Click Sign In.
- Accept the declaration (if enabled).
- Print the sticker when it appears.
Note: Ensure printer settings for size, scale and margin are configured correctly for your printer before use.
Tip: To enable automatic printing in kiosk mode without the print dialogue (preventing users from cancelling), complete the printer settings configuration before setting up kiosk mode, then follow the instructions in the next section.
The user is now checked in.

To return to the login page, change the URL and remove everything after the client domain:
7. Setting up kiosk mode for Google Chrome
To set up kiosk mode in Google Chrome:
- Create a shortcut to Google Chrome on your desktop.
- Rename the shortcut if you want to differentiate it from normal browsing.
- Right-click the shortcut.
- Select Properties.
- In the Target box, go to the end where it says "….Application\chrome.exe".
- At the end, type: --kiosk --kiosk-printing "https://au.beakon.io/domain/index.php?entryPoint=VisitorRegister"
- Change "domain" to your client portal domain.
Note: The --kiosk tag makes Chrome launch in full screen so users cannot change the website. The --kiosk-printing tag skips print setup and automatically prints based on previously used settings. Ensure the printer has been tested and prints correctly before proceeding. The URL opens Chrome directly to the Visitor Kiosk page.
- Click OK to save.
- Close all other instances of Google Chrome on the device.
- Open this shortcut.
Important: Ensure all kiosk settings are fully configured before opening the shortcut.
Tip: You can press ALT+F4 to force close the browser.
